PX-017 Project Overview
01 / Project archive
Link objectives, experiment records, reports, and meeting notes by stage. Keep each document's original location and owner.
02 / Methods and versions
The project currently links to method v2.2. Members access it through the overview; earlier versions and revision notes remain in the same directory.
03 / Stage materials

04 / Fit existing work
Build around the way your team works
How do existing materials get in?
Start with current folders, cloud documents, or project files. Choose connections that fit your systems while retaining sources and directory relationships.
Classify · Retain sources · Build indexesWho can see what?
Configure access by role, project, and document scope so members find and open only authorized information.
What happens when documents change?
Assign owners, retain versions and revisions, and sync content updates with indexes to keep knowledge current.
FROM NEED TO DELIVERY
Plan a team knowledge base from a focused set of documents
What to prepare
Prepare frequently used documents, current folders and version rules, plus the teams and roles that need access. Include questions staff often need answered as search evaluation examples.
Agree on delivery
Agree on document categories, update workflows, search and source navigation, role permissions and maintenance instructions so the team can manage its knowledge over time.
Questions before we start
Where should we start with a mixed document collection?
Start with one project, a set of SOPs or product documents. Establish active versions, owners and access permissions, then validate organization and search before expanding.
How does search stay current when documents change?
Design updates and index synchronization around document sources, retaining version information and links to originals. Test replacement, withdrawal and permission changes so staff can identify the material behind an answer.
Can the knowledge base serve both staff and customers?
Define document and access scopes for each audience. Internal search and customer answers use their approved material; customer channels can be combined with a service agent and human handoff.
